How can you affect the processing of personal data
Data protection is the protection of people's private lives. This includes each individual's right to their own personal data. The protection of personal data from unauthorised or detrimental usage is the basic principle of the rights of a customer.
We offer our customers opportunities to decide and to control the processing of their own personal data. Below are listed different ways in which our customers can impact the collection and processing of their data.
At LocalTapiola, we use automated decision-making. Automated decision-making means that a decision is made entirely on the basis of automated personal data processing without the input of a human. Automated decision-making is based on the data provided by the customer and data already available in our systems. We may also use personal data obtained from external sources, such as the credit information register. We use automated decision-making to improve the efficiency of our insurance and claims processing and customer service. We will notify separately in connection with the service if automated decision-making is used in the service in question and if necessary ask a permission to use automated decision-making.
If you are dissatisfied with the automated decision, you have the right to request that the case is reviewed by an employee. As the customer, you have the right to present your view, hear the reasons for the decision and dispute the decision.
At LocalTapiola, we also use profiling. Profiling means automated processing of personal data where we evaluate certain personal characteristics by combining and analysing data. We use profiling, for example, to target marketing in which case the purpose of utilization of profiling is to ensure that our marketed products and services match our customers’ needs. Profiling allows us to evaluate our customers’ interests and offer more suitable marketing.
You have the right to refuse the use of your personal data for profiling.
We use automated decision-making, for example, in non-life insurance operations in the following functions:
Insurance purchasing
We may use automated decision-making to decide whether to issue an insurance. The automated system may decide to either issue the insurance or forward the matter to an employee for further processing. Automated decisions are based on data provided by the customer, data existing in our systems, and data obtained from external sources, such as the credit information register.
If you do not want your insurance application to be handled by automated decision-making, you can apply for insurance by phone or in person, either by calling LocalTapiola customer service or by visiting a LocalTapiola branch.
Claims handling
We may use automated decision-making to make claims decisions and as part of other activities related to claims processing. The automated system may decide to either compensate the claim or forward the matter to an employee for further processing. Automated decisions are based on data provided by the customer and data existing in our systems, such as insurance terms and conditions.
If you do not want your claim to be handled by automated decision-making, you can file the claim by phone or in person, either by calling LocalTapiola customer service or by visiting a LocalTapiola branch. Check our contact information (in finnish).
As our customer, you have the right to refuse the use of your personal data for direct marketing, profiling related to direct marketing, opinion surveys and market studies. You may decide to what extent or for which parts you wish to exercise this right. Exercising the right is free of charge.
You may file a marketing prohibition by announcing it to the LocalTapiola Group either in the online service, at a LocalTapiola office or by contacting our customer service. Check our contact information (in finnish).
You can unsubscribe from direct marketing messages by clicking on the link provided in the message.
As our customer, you have the right of access to data in LocalTapiola's personal data file concerning themselves and, subject to certain limitations, concerning children in their custody. LocalTapiola is obliged to verify your identity in connection with each access request before providing the information.
You must provide the details required to search and deliver the data. Such details include, for example, your name, address, personal ID code, the topic or issue the data requested is related to, whether you wish to view data for a certain period or whether you wish to exercise your right of access on all your data.
If your request for access concerns an individual claims matter, you can most quickly and easily request the data by contacting the party that made the claims decision directly.

You can also make the access request in person at a LocalTapiola office.
On the basis of your right of access, you have the right to review data concerning yourself at a LocalTapiola office or to request copies of the data. We will deliver the data to you by mail or arrange for you to view it at an agreed upon office within 1–3 months, depending on the extent of the request.
We ensure that our customer data is up to date and correct by updating customers’ contact information, for example, from the Population Information System.
In addition, you always have the right to demand that personal data which is inaccurate or insufficient for the purpose of processing be removed from the data file. The data must concern yourself or the children in your custody.
The more justifiable, specific and clear your request for correction is, the better we can process it. You can update your personal data by visiting a LocalTapiola office in person or by contacting our customer service.

At your request, we will either correct inaccurate or insufficient personal data or provide a certificate of refusal in writing indicating the reasons why the rectification request was not accepted. If we have disclosed data to third parties, we will also inform them of the correction of the data.
Subject to certain exceptions, you have the right to demand that data which is outdated or unnecessary for the purpose of processing be removed from the data file. Due to the regulation of the financial sector, we are generally obliged to store our customers' data throughout the duration of the customer relationship and, in part, also after its termination. If storing the data is necessary due to a statutory obligation or contract, for example, LocalTapiola is obliged to store the data for such a purpose for as long as is necessary. The operations of the finance sector are long-term by nature, and the retention periods are consequently very long. The purpose of the retention periods is to secure the rights of both the customers and LocalTapiola.
The removal of outdated or unnecessary data will always be decided on a case-specific basis. Please note that depending on the nature and scope of the matter, the investigation and removal may take a considerable amount of time.

The request must specify at least your name, personal identity code, postal address and telephone number, as well as what data you wish to be removed.
In certain special circumstances, you also have the right to request that we restrict the processing of your personal data or otherwise object to the processing of your personal data. In addition, you can also request the transfer of personal data that you have provided to us directly to another controller in a machine-readable format, if it is technically feasible.
We aim to investigate and solve possible problems directly with our customers. However, the customer has the right to make an appeal to the authorities if they feel that their personal data has been used in violation of the current information security legislation.
